This page explains how Sade.dk / Van Hauen Conferences ApS processes personal data collected through this website (sade2027.netlify.app and sade.dk), including through our registration forms, exhibitor forms, contact form, and newsletter sign-up.

What information we collect
Depending on which form you use, we collect some or all of the following:
- Name, email address, phone number
- Institution / company name and invoice address, and VAT / PO number (for exhibitors)
- Hotel room selection (Thon Hotel Ullevaal, Oslo)
- Allergies, dietary requests or other information you choose to share with us for catering or practical purposes
- Payment and billing information, handled directly by our payment provider, Stripe (see "Other recipients of your information" below) — we do not see or store your full card details ourselves
- Your email address, if you sign up to our newsletter
- Any information you include when you contact us via the contact form or by email
We only process information about you that we receive directly from you. We do not buy or obtain lists of contacts from third parties.
Purpose and legal basis for processing
We process your personal data to the extent necessary to:
- Register you for the conference, hands-on course, dinner, hotel or exhibition, and to fulfil that agreement with you (legal basis: performance of a contract)
- Issue invoices and keep accounting records, which we are required to retain under the Danish Bookkeeping Act (legal basis: legal obligation)
- Respond to questions you send us via the contact form or by email (legal basis: legitimate interest / performance of a contract)
- Send you our newsletter with news, updates and practical information about SADE, if you have signed up for it or otherwise given your consent (legal basis: consent)
Marketing / newsletter
We only send you newsletter emails if you have signed up via the "Join our mailing list" form on our website, or otherwise given your consent. We use Brevo (Sendinblue SAS) to send these emails; see "Other recipients of your information" below.
You can withdraw your consent and unsubscribe at any time, either via the unsubscribe link in any newsletter email, or by contacting us at the addresses above. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.
How long we keep your information
- Contact form enquiries: deleted once your enquiry has been resolved and is no longer relevant.
- Newsletter sign-ups: kept for up to 2 years from your last activity or consent, unless you unsubscribe sooner.
- Registration, exhibitor and payment information: kept for up to 5 years due to the retention requirements of the Danish Bookkeeping Act. Information not covered by that legal requirement is deleted once it is no longer needed for the purpose it was collected for.
Other recipients of your information
We share personal data with the following processors, only to the extent necessary for the purposes described above:
- Netlify, Inc. (USA) – hosts this website and processes form submissions on our behalf.
- Stripe – processes payments and generates invoices/receipts. Stripe receives your payment and billing details directly; we do not store full card numbers ourselves.
- Brevo (Sendinblue SAS), based in France – used to send our newsletter, only for contacts who have signed up or otherwise consented.
- Thon Hotel Ullevaal, Oslo – if you request a hotel room through our registration form, we share the necessary booking details with the hotel.
Where a processor is located outside the EU/EEA (such as Netlify or Stripe), transfers are made under appropriate safeguards, such as the EU Standard Contractual Clauses. You can ask us for more details about these safeguards at any time.
We do not sell your personal data, and we do not share it with anyone for their own marketing purposes.
Data security
We process your personal data securely and confidentially, in accordance with the General Data Protection Regulation (GDPR) and the Danish Data Protection Act.
Your rights
Under the GDPR, you have a number of rights regarding our processing of your personal data. To exercise any of these, contact us using the details above.
- Right of access – you can ask what information we hold about you.
- Right to rectification – you can ask us to correct inaccurate information.
- Right to erasure – in certain cases, you can ask us to delete your information before our general retention period ends.
- Right to restriction of processing – in certain cases, you can ask us to limit how we use your information.
- Right to object – in certain cases, you can object to our otherwise lawful processing of your information.
- Right to withdraw consent – where processing is based on consent (e.g. the newsletter), you can withdraw it at any time; this does not affect processing carried out before the withdrawal.
You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet), www.datatilsynet.dk, or the data protection authority in your own country.
